The Business Admin & Commercial Excellence Manager is responsible for driving business efficiency and effectiveness by managing commercial processes, providing analytical insights, and supporting sales, service, and project management activities. This role requires a deep understanding of departmental & inter-departmental processes, strong analytical skills, and the ability to act as a consultant to improve commercial effectiveness.
Commercial Excellence:
· Conduct pipeline analytics for various business purposes to identify trends and opportunities.
· Demonstrate expertise in departmental commercial business processes and act as a subject matter expert, share detailed knowledge and insights with peers.
· Leverage competitive industry and market information to recommend improvements that enhance value and commercial effectiveness.
· Document business requirements and process flows, and perform gap analysis against critical business needs.
· Map business processes and requirements to define how these processes are enabled within tools.
· Lead functional design, review, and testing sessions to ensure alignment with business needs.
· Execute CRM administration functions, including managing workflows and maintaining data integrity.
· Translate best practices into detailed process and tool requirements and deploy them across departments, for continuous improvement.
· Develop business communication strategies and change management steps to ensure smooth transitions and implementations.
Sales Support:
· Receive and process customer purchase orders & contracts accurately and promptly.
· Create and maintain customer master data within the system.
· Generate agreements and create necessary assets in alignment with customer requirements.
· Create, review, and update sales requests to ensure timely and efficient delivery.
· Prepare and submit invoices for completed and approved jobs to customers.
· Assist with general office administration tasks as needed.
Service Coordination:
· Receive and process customer purchase orders & contracts related to service activities.
· Coordinate service activities, including preventive maintenance, repairs, parts management, work in progress (WIP), and technician schedules.
· Create and update records in the SAP system to maintain accurate service documentation and tracking.
· Manage inventory levels to ensure adequate stock for service needs.
· Prepare reports and follow up on payments to ensure timely collection.
· Provide general administrative support to the service team to help them meet profitability targets and maintain high customer satisfaction while adhering to safety standards.
Project Administration:
· Perform documentation tasks such as generating reports, preparing handover forms, compiling manuals, and issuing purchase requisitions (PRs).
· Prepare submission drawings and compile documents for JKKP approval, submit applications and documents in the MYKKP system, and monitor submission status within two weeks.
· Request support documents from customers, compile all relevant documents for load test submissions, submit applications via the MYKKP system, and monitor the submission status.
· Follow up with JKKP officers to arrange test dates, order test loads, coordinate with Professional Engineers (PE), Competent Persons (CP), and technicians for standby, and follow up on PMA issuance.
· Perform other project-related tasks as needed to support successful project execution.[MHL1]
Leadership and Development:
· Review internal admin resources and build a strong team of admin and commercial excellence to support business expansion.
· Provide leadership, guidance, and mentorship to the admin and commercial excellence team, fostering a culture of excellence and continuous improvement.
· Plan, generate and execute training plan to upgrade the competencies of the admin and commercial excellence team.
Cross-Functional Collaboration:
· Collaborate closely with other departments to strengthen internal resources and enhance overall business operations.
· Work with service operations, sales, supply chain and project teams to ensure seamless coordination and delivery of equipment and services.
Other Responsibilities
· Perform any other duties as assigned by the General Manager.
Bachelor's degree in Business Administration, Commercial Management, Supply Chain or a related field.
Minimum 10 years working experience in related field.
Proven experience in commercial excellence, sales support, service coordination, and project administration.
Strong analytical skills and attention to detail.
Proficiency in CRM systems and SAP.
Excellent communication and organizational skills.
Proven experience in managing admin/ commercial excellence team
